How do you sell holiday party catering to offices?
An office manager has forty people, one December afternoon and a budget. She books the first restaurant that sends a clear party menu with a price. Get your menu onto her desk before December fills up.
Send nearby offices a holiday party menu before December books up. Price each tray per guest. Take a deposit to hold each date. Set a final headcount deadline a week out. Deliver on weekdays and keep hot food hot. Save every order on a reorder list for next year.

Are office holiday parties worth chasing for a small restaurant group?
Most companies still throw a holiday party. Challenger, Gray & Christmas, an outplacement firm, published its party survey in December 2024. It found 64% of companies planned a celebration, the same share as the year before. Budgets were tighter, though. Some 17% planned to spend less on the party.
- of employees planned to attend their company party
- 82%
- of businesses were raising their party budgets
- 51%
- of employees said food and drinks shape whether they go
- 50%
Restaurants see the result in their order data. Toast, the restaurant software company, tracks catering at restaurants on its platform. In the last quarter of 2024, same-store catering transactions rose 26% over the same quarter of 2023. Ticket size rose 9%. About 37% of that year’s catering orders came in its last three months.
Party catering fits your group if you have
- Weekday afternoons when the dining room is quiet
- Half pans, lids and a way to keep trays hot on the road
- Someone who can answer catering emails the same day
- A driver, or a delivery partner that takes large orders
- Offices within a short drive of at least one store
Do you need your franchisor’s approval to sell party trays?
If you hold a franchise, check before you price a single tray. Party trays often mean new items, new packaging or a new way to take orders. Your agreement may cover all three.
Ask your franchisor these before you send a menu
- May we sell trays and platters that are not on the brand menu?
- Must catering orders go through a brand-approved ordering site?
- Who sets catering prices and delivery charges?
- Can we take deposits and invoice companies directly?
- May we contact offices with our own flyers and emails?
Keep the replies in writing. Do you run your own small brand instead? Then pick the one or two kitchens with the most prep space, and fill every order from them.
What should go on a holiday party-tray menu?
Office guests want to graze and mingle. Restaurant Business covered ezCater’s holiday survey from 2024, which asked employees how they like to eat at the party. Buffets were the top pick, at 66%. Heavy appetizers came next, at 34%.
| Tray | What goes in it | Why it works |
|---|---|---|
| Main tray | One hot main, sliced or portioned in a half pan | Serves fast from a chafing dish |
| Two sides | One warm and one cold, such as roast vegetables and a grain salad | Rounds out the plate without extra choices |
| Heavy appetizers | Skewers, sliders or dumplings that guests eat standing up | Suits a party where people walk around |
| Vegetarian tray | A full tray of its own, not a side swap | Feeds guests who skip the main |
| Dessert tray | Cookies or bars cut small | Needs no forks and no cutting |

Keep the menu to one page. In that same survey, one in 10 employees said they had skipped a party because the food was unappealing. A short menu cooked well beats a long one cooked in a rush. Size every tray for a stated number of guests, so the planner can add trays to match the headcount.
How do you price party catering per guest?
Planners compare quotes per guest, so print your prices that way. In ezCater’s survey from 2024, decision-makers planned to spend an average of $44 per guest on food and beverage. Toast reported an average catering ticket of $160 in the last quarter of 2023.
| Cost | What to include |
|---|---|
| Food | Every tray at your supplier price, plus trim and waste |
| Disposables | Pans, lids, serving utensils, plates and napkins |
| Hot holding | Chafing racks and fuel, or insulated carriers |
| Labor | Prep, packing, the drive and setup time |
| Delivery | Mileage and the driver’s time back to the store |
Price also decides who gets the booking. Channel Media Group, a targeted marketing company in Cleveland, surveyed business administrators in September 2024. Nearly 38% of them named price as the top factor.
- named price as the top factor when choosing a restaurant to cater
- 38%
- of businesses planned to order from local restaurants that season
- 90%
Then set the smallest order worth a delivery run, and print it on the menu. Many office orders are midsize. ChowNow, an online ordering company for restaurants, says many catering orders are group meals for 20 to 50 people. They are often booked with less than a week of lead time.
Which offices should you contact, and how?
Start with offices a short drive from each store. ChowNow suggests reaching out directly to “medical offices, law firms, studios, schools, or dealerships.” Its advice is to send a short note, then follow up once.
List the offices
Ten to twenty within a short drive of each store.
The same week
Email the party menu
Prices per guest and how to book, in a short note.
A few days later
Follow up once
One reply on the same thread, then stop.
On a slow afternoon
Drop off a printed menu
Leave it with whoever plans events.
When they reply
Send a written quote
Menu, guest count, date and deposit.
One party order also puts your food in front of strangers. ChowNow says a single office lunch can bring 20 to 30 potential new regulars to your food. A holiday party often brings more. For other ways to win your own neighborhood, see how franchisees market their location locally.
When do holiday catering orders come in?
Holiday catering comes in two waves. Toast found the busiest weeks were those before Thanksgiving and before Christmas. Most orders also land on weekdays, when dining rooms are quieter.
- on Tuesdays
- +25%
- on Wednesdays
- +26%
- slower on Saturdays
- 36%
- slower on Sundays
- 53%
So staff the kitchen for weekday lunches and afternoons in December. Parties land in work hours, too. In ezCater’s survey from 2024, 55% of employees favored afternoon office celebrations.

Does your kitchen also run Thanksgiving to-go meals? Keep party deliveries off your pickup days. Then the December party trays get the full kitchen.
How much deposit should you take, and when is the final count due?
Take a deposit to hold the date. Novo, a small-business banking company, says a deposit of 25%–50% of the contracted total is common practice across U.S. catering. Ask for the final guaranteed headcount in writing 5–7 days before the event.
Send the quote
Menu, price per guest, date and deposit.
At booking
Take the deposit
It holds the date on your calendar.
5–7 days before
Lock the headcount
In writing, by email or a signed form.
On the day
Deliver and set up
Hot trays hot, cold trays cold.
Within 24–48 hours
Send the final bill
Adjusted to the actual count, with the deposit credited.
Many companies pay bills on a schedule. Novo mentions corporate Net 15/30 payment terms. Put the balance due date on the quote. Then add how much of the deposit you keep if the party is called off, and by which date.
How do you deliver and set up a party buffet safely?
| Tray | Keep it at | How |
|---|---|---|
| Hot trays | 140 °F or warmer | Chafing dishes or warming trays |
| Cold trays | 40 °F or colder | Set the tray on ice |
Timing matters as much as temperature. The FDA says to discard perishable food left at room temperature for more than 2 hours. Above 90 °F, that window drops to 1 hour. Bring small trays and swap them as they empty. The FDA suggests preparing several small platters ahead and replacing the serving dishes through the party.

Pack these for every party delivery
- Chafing racks, pans and enough fuel for the whole party
- A probe thermometer and a temperature log card
- Serving spoons and tongs for every tray
- Labels naming each dish and its allergens
- Plates, napkins and a trash bag
- The confirmed headcount sheet and the balance invoice
What does a first holiday party season look like?
Your counts will differ from hers. The parts to copy are the one-page menu, the deposit and the saved order list.
How else can offices find your holiday catering?
Put the party menu everywhere you already own. ChowNow’s advice starts with your own website, your bags and your register.
| Place | What to add |
|---|---|
| Your website | A catering page with the party menu, prices per guest and a booking form |
| Google Business Profile | Catering in the description, plus a post with the party menu |
| Takeout bags | A “We Cater” flyer with the booking link |
| The register | A QR code sign that opens the catering page |
| Your social accounts | A short video of your team packing party trays |
A food creator can show your trays at a real party, which a menu cannot. CreatoRain, the publisher of this guide, produces creator videos for restaurant groups and franchisees. Each video costs $300, creator pay included.
What goes on the reorder list for next year?
Next year’s easiest booking is this year’s client. The planner already knows your food, your driver and your bill. Build the list in January, while the details are fresh. Keep it in one shared sheet for all your stores, so a new manager can pick it up.
Save these for every party order
- The company, the planner’s name and their email
- The party date and the final guest count
- The trays ordered, and which ones ran out
- The deposit, the final bill and the day it was paid
- Any complaint or compliment from the day
ChowNow suggests a short email to past catering customers, “Need to feed a group again soon?” Send it after each party. Send it again early next fall with last year’s order attached. In January, offer each party buyer a standing office lunch as well. Then plan the rest of your season with when to start holiday marketing.
